Please find below the explanation of the purpose of the EGM on 22nd June 2026.

If you are unable to attend, we will be sending out an email nearer the time whereby you can vote by proxy.

EXPLANATION

Special resolution to amend Companies Articles of Association – a likely requirement of an application to become an HMRC CASC entity 

The attached resolution seeks member approval, by email or in person or by expression to the Secretary regarding a proposed ONE word change in the Ltd Co. (Oadby (Granville) Tennis & Social Club Limited), Articles of Association,  to enable us to apply for Community Amateur Sports Club (CASC) status which we believe will be beneficial to the Club   

– the club, we believe, satisfies all other CASC application requirements being; 

an amateur, not for profit sports club who encourage  participation  in a sport in a Community and who seek to  provide appropriate and affordable facilities to deliver that sport 

Having reviewed the CASC application guidelines we believe we would simply have to change the word in 4.1 Articles from Ability to Disability 

extract ‘…..open to anyone….regardless of disability……’

CASC status – the rationale to apply

–  Following advice from our Auditors and Advisers, OGTC Committee believe that it will be beneficial for the Club to apply for  Community Amateur Sports Club (CASC) status

• this is the legal structure described by HMRC as  ‘ most appropriate to sports clubs looking to return all their profits to the operations of the entity and where there are no dividends paid to’

CASC status is not in its own right a legal structure, but an HMRC category for a sports club

Larger local tennis clubs, Leicestershire and Carisbrooke are both (like OGTC) Private Companies Limited by Guarantee, and have registered to become HMRC CASC entities in the last few years  

• Leicestershire Tennis Club registered as a CASC in 2021
• Carisbrooke registered in 2025

CASC registration affords

–        Various Corporation Tax exemptions (- note OGTC Tax 2025 = £3,406, and likely to rise with increased incidence of rental income)

–        Benefits from Gift Aid and Charitable business rate relief

We believe OGTC comply with the requirements save for the need to change one word in our Articles and are therefore seeking member approval to make this change

The work to register will be carried out voluntarily by the Company Chairman and a member volunteer, both of whom are qualified professional Accountants by training – so the cost to the club is minimal

This is necessary for an resolution amendment

It is to change one word in the Articles – further information will be sent out shortly, but this will enable us apply for Community Amateur Sports Club (CASC) status – which will improve OGTC  taxation/charitable organisational position going forward  .

80TH Anniversary of the Club

The Club is 80 this year!

Watch out for details later in the year, when we hope to combine the birthday celebrations with the opening of the refurbished Clubhouse.

Membership

Given our court capacity limitations and feedback from our recent members consultation, membership has been closed until end of July and will be reviewed at that point 

Junior Team Tennis update

The County Junior Summer Leagues are underway and we have 14 teams taking part.  

Several of our junior players have represented Leicestershire in the Inter County Competitions. 

It is also good to see a number of juniors playing for senior teams in the County Doubles Summer leagues

Adult Team Tennis update

The club has fifteen teams entered into the Leicestershire County Summer Doubles  tournaments this year – Men’s, Ladies’, Mixed and Over 40’s (the Men’s and Ladies’ Over 60’s teams have already completed their matches).

Our teams are thriving and three of the five Ladies teams – after 4 matches played – are in 1st place in their individual division, as is the Men’s 4th team after playing 5 matches. 

Fixtures for the 3 Mixed teams have yet to start.

Fixture information for all home matches is available via the club website should members wish to support the teams.

Club refurbishment Project

Members can expect to see major activity in June in the Clubhouse, floor / bar area/ fittings/ decor  following on from the replacement of the broken patio doors with Bifolding doors that were done in May.

Grounds

Thank you to all of the volunteers who helped at the recent working party.

There is constant work being done to the grounds and the next thing to be replaced are the broken benches.  We are currently looking into environmentally friendly alternatives

A lot of work has been done on investigating the recycling procedure of our rubbish and you will notice lots of new bins around.  Please could members and also kids, ensure that the correct bins are used.

There is a recycling bin on the patio for used balls.  We do encourage any used balls to be placed in this bin as the club sells them on.

New Volunteer roles

Two new roles have been identified by the Committee which would be useful to the club going forward.

1. 1. Social Media Officer – details will be posted on Club Whatsapp shortly
   2. Recycling Champion – email for details – info@oadbytennis.co.uk

These roles are not likely to be onerous time wise, but we believe will help the club in these important areas.  

We wanted to let you know the Committe his considering closing the Adult membership as we have exceeded by far the LTA recommendation and the pressure on court space is now very high.

Closing the Adult membership is something that the Club hasn’t done in over 50 years so the Committe is keen to gauage opinions from members before any decision is made. Also, if members have any family or friends who are thinking about joining then we suggest they do it sooner rather than later.

Oadby Granville Tennis Club

We have some very sad news to share that Gene Harris passed away last weekend.

Gene played primarliy at Carisbrooke and held the club close to his heart for many years, serving as a joint Head Coach and inspiring hundreds of players of all levels-many of whom went on to compete at a very high standard. He also enjoyed a distinguished playing career himself, representing the club and county, and proudly playing for Great Britain in his age group, including in the USA.

Gene joined Oadby a few years ago (as well as still playing at Carisbrooke) and enjoyed regular fixed fours. In 2023 he partnered Jack B when they both playwed in the opening season tournament -there was a 75year age gap between them!

Gene was a true legend of Leicestershire tennis and will be greatly missed.

Genes funeral will be held at Great Glen Crematorium on Friday May 1st at 10.30 am followed by a wake at Carisbrooke Tennis Club. The family would like to have an idea of numbers so if members are planning to go could they email info@ so we can relay to the family.

To authorise expenditure of up to £30,000 for the planned refurbishment of the Clubhouse Clubroom.

The results of the total votes is as follows:

Good Morning OGTC members 

For any capital project totalling over £15k the Club are  obliged to seek member approval regarding the project budget expenditure .

A note was sent on 15 March to advise an Extraordinary General Meeting {EGM} to approve or reject a proposal to spend up to £k 23 on a planned refurbishment of the main clubroom.  (we have amended this to £30k) .   The meeting to be held at the club on Tuesday 31 March 2026 at 7pm, with votes to be taken at that meeting along with any postal/ email votes, per the attached form for those unable to attend

The background is that, given

1. the Clubs financial good health
2. the ‘tired’ look of the clubhouse (clubroom) which has not been updated for over 10 years 

The Committee set up a Project group to investigate and research options to freshen up the clubhouse in a reasonable period – likely next 3 months – at a reasonable cost (noting 2014 full refurb cost was over £k 45)

The Project Group, comprised four Committee members,   Paul Heighton-Towers, Gary van der Byl, Jenny Howse and Steve Parker,  with excellent technical input from Mike Minski (designer/adviser), and Dean Zarins (as a professional builder, responsible for our much lauded Garden Room) and also taking into account some thoughts from Rainbow Care (our prime daytime renters)

This Group decided early on, (in focusing what we could realistically do in the next few months) that the

scope of this refurb should be limited to ‘refreshing/ updating’ the Club Room 

– that is the area through the lounge door – (so leaving the toilets / other elements of the club structure to a phase 2 project in a longer timescale, save for some minor repair improvement to showers already planned)

– note also we felt that the Kitchen was fit for purpose at present 

Key areas in the clubroom assessed were 

1. Structural   – Bar Counter etc 
2. Floors
3. Chairs/tables   
4. Ceiling/lighting 
5. Windows 
6. Walls  

We have costed (with at least 2 quotes on major elements) our proposal which will cover 

• Flooring ~ 10k    – new LVT   (luxury vinyl floor to cover the tiled and carpeted area and the additonal space from our reducing the bar length and substantially opening up that space)
• Bifold Doors ~ 6k – replacing existing patio 
• Building changes (primarily brick built bar reduction), minor electrical, plastering ~ 6k
• Other – Acoustics, window coverings, Painting etc    ~ 8k 

So  total proposed capital  (multi year benefit) budget £k 30

We felt that the wooden chairs/tables need replacing with something more modern, commercial and easily cleanable but these are not the subject of the refurb EGM – as it is a more minor spend / shorter term write-off and can be sorted in a shorter timescale, once the Clubhouse work is substantially complete .

The Project Group do hope you support this Refurb budget proposal – it will keep the club looking attractive and functional for both existing members/users and for prospective club members in the next decade or so

In passing, by way of information for members, Please also note that OGTC are looking at our Club applying for CASC (Community  Amateur Sports Club) Tax status – which both Carisbrooke Tennis Club and Leicestershire Tennis Club are now approved for, and for which our advisers are supportive of our initiative .

Such status will give the club various tax / tax category (VAT, Local Rates) benefits over some years into the future at minimal cost to apply 

– we will advise if minor changes to the organisation’s Articles are required – which we believe is likely to be the case- these would need member approval – we will write further in due course on this matter once our proposals are finessed and ready

SINGLE POINT SLAM – Tuesday 17th matches starting at 7pm – any member who can hold a racquet invited to play !!!!

Essentially 

All courts are booked for the event 6pm-9pm and free to all to play / warm up /socialise

– Required registration ONSITE 6.45-7.00pm 

– Anyone with a racquet there then can play 

– ⁠Kev M and I will  run/referee  the matches on courts 3 and 4 

– from 7pm sharp 

-format 

– ⁠the drawn pair are summoned 

– ⁠they play rock paper scissors to decide serve/ receive choice 

– ⁠1 point played 

– ⁠1st and 2nd team players have only 1 serve 

– ⁠then move to next pair in draw 

– ⁠we reckon to complete to semi and final in 60-90 mins if we are prompt (note NO warm up on court 3,4- straight in!

– ⁠winner £20 r/u £15, 3rd £10, 4th £5 

– ⁠hoping when we play the semi / final there will be a crowd watching !

The committee have looked at refurbishing the clubhouse which is beginning to look a litle tired. The estimated cost the works are circa £23,000, roughly broken down as

Flooring £8,000

Bi-fold Doors to replace patio doors £5,000

Building works, electircsl, plastering £5,000

Accoustics, painting £5,000

More detailed plans will be given shortly.

As per the club rules the members need to approve any spend over £15,000.

The EGM will be at the Club at 7pm on Tuesday 31st MARCH.
